Starting a website project – transferring

We often get asked how to transfer the website from the previous website design company, a typical question may be

[Website Client] Do you not need the EPP code / IPS tag key/code to operate/take over my web site? and once you have the okay from me what is the first step? Obviously I will need full access to my website email. Additionally, do i need to inform my existing provider/server?? that I am employing you to alter my web design or just leave it until we are ready to take it over.

We like to transfer immediately and develop directly on your website in a ‘test’ directory so you can see what we are doing but this isnt always necessary, so a typical reply may be

[Delicious Webdesign] Yes we will need to gain access of the domain from your previous provider or web registration company. This could be the final stage of the project, as until you are 100% happy with the design and build, we will not put the project on your domain name. Instead, we will build the project on a test server, so that nothing is launched until it is perfect.

Gaining control over your domain needs to be done lastly, so that you suffer minimal down-time on the website. Otherwise users will land on a “under construction” page, which will do you much more harm that keeping your old site live.

Your email will work until the last moment when we switch the site over to the new site, and then we will provide you with new email login details, so that you can manage your emails once we host your website.

Regarding informing your old website design company in Southend, you can simply leave it for a few weeks – and once the new site is nearing completion we can then make the switch. Otherwise we run the risk of them shutting the site down prematurely.

Once you are happy to proceed, I need to take some information from you, which I have listed below. Then I will book the project into our project management suite, which will generate an automatic email to you

Often get asked about what happens once we begin a website redesign project when the website needs to be transferred from a previous website design company / hosting company, the following demonstrates what is typical information we give out

A very big part of the website design project manager’s responsibility is ensuring that website transfers are done quickly and efficiently, unfortunately it can be viewed as quite complicated by other website design companies and website owners. We often speak with other website design companies that clearly do not understand the principles of website ownership, transfers and hosting and find ourselves educating them to ensure the transfer goes smoothly for our clients, the following exchange demonstrates that we go the extra mile to help website owners.

website owner Can you please explain to me what this hosting information is for as you are no longer hosting our website, actually what is hosting, as we are not sure?

delicious Your domain is very much registered and hosted with us, there is three parts to it:
Name Server, A Records and MX Records, you have chosen to change your A Records (IP Address) to another Essex Website Design company but you have our Name Server and MX Records so hosting fees are applicable I am afraid. We were last contacted by another website design company, on your behalf, to change your A records and done that instantly for you.

Happy for you to transfer away or stay with us, if you transfer away there is a small transfer charge to pay (see our website additional charges ) and if you stay with us then we are also happy to oblige.

We look at sites as if they were our own and can say that your site has been neglected in terms of SEO and can see some very amateurish SEO mistakes on it, which if you want to take our SEO program we will be glad to fix. Additionally we have now got more SEO successful projects that we can report on to give you confidence that we can deliver SEO success in terms of visitor numbers and search engine rankings. delicious We can transfer the domain to another host but as you have a .co.uk domain will need their IPS tag and the fee to complete this. In terms of history you mean your existing emails? If so if you use an email client for your email then your emails will be stored for you locally and you will retain your emails.

Free Websites are never a good idea

We often get to redesign / promote a website that has been active for many years without bringing in any business / inquiries / work for the website owner / business. This is normally due to the quick way the website has been put together without any ‘thought’ or any real knowledge of website design and the search engines.

We believe in ‘holistic’ website design, meaning we want all areas covered ensuring you get a great looking website that looks and works perfectly on all browsers and will be easy for the website visitor to understand and navigate to make an inquiry, order or to contact you. This website must be search engine friendly to rank appropriately in the various Search Engines (Google, Bing and Yahoo). So its always worth doing a website well and not having it done ‘on the cheap’ or for ‘free’ or for a favour as long term it will cost you business and money.

Here is a recent conversation I had that demonstrates this point:

[client / friend] need to save up to pay you although one of my friends has done a site for me and doesn’t want paying, i’m sure yours would look jazzier though.
[delicious website designer] its not just about looking jazzier, sites from DIY site makers / free sites from ‘mates’ / sites that are done quickly will almost definitely end up costing you money as they wont be ‘user friendly’ they wont be build to the ‘w3c standards’ and will not be ‘search engine friendly’.

We can give you a demonstration before you part with any money to ensure you are happy that you will be able to operate it. On the other hand, if you want to leave all of the site management to us we can do that too.

Search Engine Optimisation (SEO) – Basic SEO comes as standard with the site i.e. as part of the CMS you can enter appropriate descriptions, titles etc for EACH page. It is important too to ensure that “key” words, the words your target market would type into a search query, are included in the text on each page. This is simple to do via the CMS and we’ll give you some advice on how best to do this as part of the training.

Unlimited pages – You can have as many pages as you wish and with access to the CMS you can keep your target market engaged at all times. And you can add as many images as you like, for instance include a “gallery”. Showing your clients on your website is a fantastic way to keep them coming back.

Newsletters – With a newsletter linked to your website you could contact your customer base and keep them up to date with special offers, promotions, news and views. It’s a really good way to keep in touch.

Here are my standard Updates for the client during the website design pre-build stages, obviously all the best laid plans are subject to change and as a website client you can ensure the website build process is as efficient as possible by telling us in as much detail as possible what you want to achieve from your website, then leave all the hard work to us, your favorite Essex Website Designers

Payment made
Thank you for making payment of your website deposit. We require no further payment until the project is finished and you are happy with your web site. We will now begin work on a concept design for your web site. To aid us with this, could you please fill in the questionnaire form we have attached to this email as best you can, and we will use the information to ensure our design and web site build meets your requirements exactly.

Questionnaire
This form allows us to collate all the information that we require to create an effective web site that is tailored to your exact needs. We request that you complete the attached form as best you can, and return it to us via email. We cannot continue with your website design until this form is adequately completed.

This will result in less time being wasted making revisions to web sites due to constant sending and revising of web site designs.
If you have any trouble with any area of the form, please do not hesitate to contact me and I will be happy to help.

Design of the Website
We will now begin work on a concept design for your site, and we will get this across to you for review.

Pre-Reveal
The concept design should be finalised and sent to you within the next few days, at which point we will ask for your opinion and feedback. This feedback will be taken on board, and any necessary changes to the design will be carried out.

Reveal of the website
Please have a look over the design, and let me know your thoughts and if there is anything that needs to be addressed before progressing to the full build stage. Alternatively, if everything seems to be ok, let me know and I will instruct the team to continue with the full web site build.

Progress
It usually takes around 2-3 weeks for the build stage to be completed from the date the concept design was confirmed; I would say the web site should be ready for review within the 3 weeks. We will let you know if this changes, but this is unlikely.
